Job Description

Position Summary The American Association of Service Coordinators (AASC) is a national not-for-profit membership association representing the resident service coordinator profession. Our more than 3,700 members serve older adults, people with disabilities and low-income families living in affordable rental housing and the surrounding community. AASC supports its members by providing continuing education, standards of practice and advocacy.

AASC is seeking a Professional Development Coordinator, who functions as a key support person to the Professional Development department (PD) while also providing general support to the organization as a whole and creating efficiencies whenever appropriate. Duties include moderating webinars, answering the telephone and assisting callers with customer service needs, responding to elevated PD inquiries, providing support to PD for the education programs and handling related functions as well as providing project support to all departments as needed. This position will report to the Sr. Director of Professional Development (SDPD) and is a remote position; however, qualified candidates must currently reside in the Columbus, OH area.  

Customer Service Responsibilities                                                                                                               

  • Serve as a back up to answer and route incoming calls providing exemplary customer service to all members, clients and vendors
  • Respond knowledgably to member and program user inquiries
  • Support senior leadership with duties as assigned to ensure efficient organizational operations
  • Backup for processing payments and store orders through the AMS

Professional Development Responsibilities

  • Serve as the front-line responder for education questions via phone, email and contact forms, providing consistent, standardized communication to education program users
  • Work as part of the conference team to accomplish association's event goals; provide recommendations and expertise to stakeholders; provide onsite event assistance
  • Prepare course filings for AASC conference and other program filings, ensuring the filing process is conducted according to the stated timelines
  • Support the weekly webinar processes, including moderating the webinars
  • Set up events in organization association management and learning management systems, including but not limited to webinars
  • Process webinar cancellations in the AMS handling credits as appropriate
  • Retrieve past due invoices for AASCU programs following up to collect payment
  • Provide support to webinar faculty, including - development of pre-webinar promotional materials, presentation materials/content and moderation functions, collaborating with Subject Matter Experts regularly
  • Assist students with routine technology needs and course/module navigation. Must be ready to react to potential technical difficulties, help members with problems, and be able to jump in to support instructors and learners
  • Inventory, send out and track speaker headsets
  • Administer the PSC certificate program and other collaborations in conjunction with the staff of the Ohio State University - Office of Geriatrics and Gerontology; maintain PSC records and correspondence related to exams, renewals, fees and general program inquires; screen renewal applicants for approval determinations; serve as the lead contact with OSU for the PSC program reports
  • Screen Professional Service Coordinator (PSC) renewals according to approval standards and respond to applicants with results
  • Prepare PSC renewals, emails and packets for new PSCs
  • Assist the SDPD with research, recruitment, booking, communications, logistics, tracking, reporting and on-site support of faculty
  • Collect and maintain online presentation materials and assist SDPD with launch of pre-conference site
  • Handle recruitment, scheduling, communication, training, tracking and onsite oversight of conference moderators; staff liaison for conference moderators
  • Prepare speaker emails pre- and post-conference in coordination with PD; provide onsite/online conference support as directed

Administrative Responsibilities

Knowledge and Skill Requirements

A bachelor's degree or associate degree with equivalent work experience, preferably a minimum of 5 years' experience in a Professional Development role is required for the position. Proven advanced experience with Microsoft Office products (Word, Excel, Outlook), including the ability to perform mail merges is essential. Ability to collect data, create reports, analyze and review reports and prepare written communication with an attention to detail and accuracy.

Exceptional customer service skills are essential with the ability to engage members in a friendly, professional and courteous manner.  Ability to think critically and make decisions based on instructions and previous experience. Self-reliant and capable of quickly solving problems and resolving conflicts at various levels.

Proven organization skills, the ability to handle multiple priorities/deadlines and the ability to work in a fast-paced office environment are required.  Additional skills required include the ability to work with minimal supervision, be a self-starter that is deadline driven and be comfortable with technology.
