We are looking for an energetic self-starter to be an Administrative Assistant to the service and sales departments. This person will be responsible for handling a variety of tasks. These tasks may vary daily and include [answering all incoming phone calls], processing administrative requests, making entries into the computer systems (i.e. service requests, and notes for call or sales leads and follow-up), and other duties as assigned by the GM of Commercial Service or Sales Department. The right person will be personable, self-motivating, customer focused, clearly communicates in emails and verbally, takes ownership for business results, responsible for supporting the efforts of the team and embraces change.  

In addition, this role handles the following tasks to effectively support the Service and Sales Departments:

  • Provide administrative support and complete other ad hoc projects for Sales and Service teams
  • Support Sales team within Salesforce customer relationship management (CRM) system with entering leads and marketing support for targeted prospect and customer campaigns and automations
  • Type, print, and assemble proposals for preventative maintenance, service repair quotes, projects, and addendums.
  • Create and send customer correspondence, letters, and communications

This position requires strong communication skills and clear phone voice.  Prior customer service experience in a HVAC/Plumbing or service company is a plus.  Excellent computer skills, Excel, Word, Adobe are required. A high level of attention to detail is critical. Flexibility to learn new computer systems and processes is key. Adaptable to changing routines and tasks. Strong team player. Ability to provide a positive and upbeat customer relations presence.

This position will take direction from the General Manager of Commercial Service.
